INITIAL CONVERSATION: (April 16, 2010)
“I found our conversation about what you do to be really inspiring and I was hoping to take that inspiration and translate that into a better organized Eric. I don’t know why I thought that one conversation could get me in gear, change 45 years of bad habits and become better organized. As proof of my failure, I have attached several pictures of my office. As you can see there is no organization. I desperately need to spend more time marketing my business but all my time seems to get sucked into QuickBooks work. I need better organizational practices ASAP!”
HIS OVERALL FRUSTRATIONS:
- Too much clutter
- No systems or organizational practices in office at all
- Constantly scattered trying to figure out what to do next
- Constantly interrupted and confused with what to do then
- Can’t get to what he wants to do which is market his company due to all the distractions
- Not enjoying his office or his job working this way
WHAT MOMENTUM DID: (July 29 & 30, 2010)
- Set up system for what to do with everything that comes at you every day.
- Set up system for what to do with the “keepers.”
- Trained Eric on system with one-on-one Powerpoint presentation that emphasizes the techniques outlined in his new system, teaching him skills that he can use every day…creating new habits and ways of living differently, delivering a new, different outcome.
HOW ERIC FEELS NOW:

INITIAL CONVERSATION: (November, 2009)
I met Dr. Polansky’s Office Manager at a Podiatry conference in Ft. Lauderdale in November of 2009. It was there that she expressed her frustrations with disorganization and desires to get on-site help. Upon her doctor/boss agreeing to have me visit, we set up a date in January to have me come get her organized as well as complete an entire office assessment of where they needed help. At the time, it was her understanding and belief that disorganization was her main issue for lack of productivity and efficiency in her role as Office Manager.
HER OVERALL FRUSTRATIONS:
- Too small a space to work in where it is impossible to reduce clutter
- No organizational system at all
- Overwhelmed with what to do at any given moment in her job
- Putting fires out all day long, on-going interruptions
- Can’t get to all the things that are on her job description list – too many responsibilities
- Spends more time managing people and less time getting work done
WHAT MOMENTUM DID: (January 10-16, 2010)
- Immediately interviewed every employee to determine where the cracks were in the practice. What was working, what was not working in their eyes.
- Asked everyone to write a job description so we made sure everyone was doing what they did best and the job responsibilites were with the right employee.
- Set up systems for everyone in all three offices for getting control of their workload both physically and electronically.
- Worked with the Billing Manager, the Office Manager and the Back Office Manager to ensure that all departments were productive in their respective operations.
- Trained Dr. Polansky on a mobile system where he could access what he needed every day regardless of which office he worked out of. Set up his car to accommodate his lifestyle.
- Set up Dr. and Norma Polansky’s home office to accommodate them when they worked from home.
- Created a practice-wide mission statement that everyone was to model going forward and introduced this at a staff meeting on Saturday morning at the Doctor’s house to create a team spirit and talk about how to work going forward with positive attitudes across the board.
